User support

User at instruments at JCNS can be funded for reimbursement of travel costs and accommodation expenses according to the following regulations:


Users EU and associated states: Proposals from EU and associated states (not Germany) are eligible for funding by the
Integrated Infrastructure Initiative for Neutron Scattering and Muon Spectroscopy ( NMI3 under the 7th European Framework Programme (FP7). NMI3 comprises 21 European neutron or muon facilities.
The user groups selected under this programme will benefit from compensation of travel expenses to Garching and daily allowances for accomodation. Only users with experiments at instruments of JCNS at the FRM II are supported by the resources of NMI3. In general one user is supported per experiment. Only on request a second user can be supported per experiment in certain cases. Details on travel reimbursement please find further below.

Users Germany: Limited JCNS funds are available to assist with travel and subsistence expenses for experiments at the JCNS instruments at FRM II, ILL and SNS, including CRG beam time at ILL instruments IN22 and D23 and SNS instrument BASIS and POWGEN. Here solely users from German universities are eligble for support. Usually one scientist per experiment is supported by JCNS.

Users Non-EU countries: The conditions of granting beam time for proposals from non-EU countries are the same as for EU proposals (approval by the international panel) but there is no financial support for compensating travel expenses.

For the definition of the users category the nationality of the institution of the proposers is relevant (not their personal nationality). In case of mixed user groups majority rules apply.

Acknowledgement statement: Any publications resulting from experiments which were funded within the EU access program should contain the following acknowledgement statement:
'This research project has been supported by the European Commission under the 7th Framework Programme through the Key Action: Strengthening the European Research Area, Research Infrastructures. Contract no.: 226507 (NMI3)'.

In addition an acknowledgement statement of Forschungszentrum Jülich is required as follows:
This work is based on experiments performed at the Jüich Centre for Neutron Science JCNS, Forschungszentrum Jülich, Germany.

We expect results of your experiment which you publish give proper credit to the JCNS staff members participating in the experiment and proper mention must be made of the JCNS facilities (preferably on the first page). JCNS considers it natural that local contacts who have made a significant contribution to the concept, design, execution, analysis or interpretation of user experiments should be offered the opportunity to be listed as authors in publications. You should in any case, as a minimum, acknowledge JCNS scientists with their JCNS affiliation at the end of your paper. You should agree with your local contact the terms of his/her involvement in the performance of your experiments and in data analysis before coming to JCNS. We would be grateful if you could follow to this point.


Experimental reports: Users whose experiments have been supported within the NMI3 access program have to provide some information after performing the experiment. This is necessary for us to fulfill our reporting duties against the funding agency.
Please submit an NMI3 experimental report via the JCNS online user office system within the EU-Report_NMI3 module.
Submit the EU user data form to be downloaded here.
Plaese fill in also the EU questionnaire. Please use NMI3(226507) as EC contract number and the following syntax for the user project acronym: JCNS_proposalnumber, e.g. JCNS_1234.

Please be aware that the reports and acknowledgements within the access program do not replace the correct acknowledgement of JCNS and the usual experimental report form. If you have any further question please don't hesitate to contact the JCNS User Office.


Travel reimbursement: Depending on the eligibility of your scheduled experiments reimbursement of travel expenses is possible. Users who have received beam time according to the NMI3 activity "Structuring the European Research Area: Research Infrastructures" of the EU 7th Framework programme (FP7) are entitled to obtain reimbursement for their travel expenses. Eligible are users from EU countries or associated states except Germany.
For each experiment up to two users may be supported. The nominal duration of a stay at the facility is the beam time plus day of arrival and day of departure. As the European funding is limited care must be taken to keep travels done economically. Usually train travels on 2nd class basis are reimbursed or travel by plane at acceptable rates. Travel by car will be reimbursed only in case travel costs are more economic as by train or plane or in case necessary equipment for the experiment cannot be transported elsewhere cheap. There is a maximum limit for the reimbursement of travel costs by car according to the travel reimbursement rules of Forschungszentrum Jülich GmbH. Costs for rental cars will not be reimbursed except it has been negotiated in advance with the JCNS User Office.
Reimbursement of more than one experimentalists has to be negotiated in advance with the JCNS User Office.

All travel reimbursement will be paid by bank transfer to your private account only. You have to supply the necessary information on your bank account details properly (IBAN no, SWIFT/BIC Code, full bank adress, full private adress). Only reimbursements on original invoices are considered. Please allow reimbursement to take between 2-3 months after receipt of all necessary informations and invoices.

Limited funds are also available by JCNS for eligible users of German universities. They can be reimbursed to the same rules and procedures as EU Users.

In any case you have to contact the JCNS User Office regarding any travel reimbursement before the end of your experiments.
